Information we collect

When you contact us or submit an enquiry, we may collect your name and contact details, the address and occupancy of the property or site concerned, project and service requirements, access arrangements, and any message you provide. If somebody else will provide access, we may also collect that site contact’s name, role, telephone number, email address and practical access notes. If you contact us by telephone, email, text message or WhatsApp, we receive the information you choose to share through that service.

How we use your information

We use enquiry information to respond to you, identify the relevant work or survey property, understand the service you require, arrange access, surveys or appointments, prepare quotations, manage customer relationships and administer services you ask us to provide. We may also use information where necessary to comply with legal obligations, protect our legitimate business interests or establish and defend legal claims.

Our CRM and service providers

Website sales enquiries are securely transferred to our customer relationship management provider, HighLevel, so that we can create and manage the relevant contact and sales opportunity. We may also use hosting, email, telephone and messaging providers where necessary to operate the website and respond to you. These providers process information on our behalf or under their own applicable privacy terms.

Where available, an enquiry may also include non-personal first-touch marketing information from a tagged link, the original Olympia landing-page path or an external referring hostname. This helps us understand which marketing route produced the enquiry. It does not add the customer’s form answers to the attribution information.

How long we keep information

We keep personal information only for as long as it is reasonably needed for the enquiry, customer relationship, legal obligations and legitimate business records. The appropriate period depends on the nature of the contact and whether it develops into a quotation, survey or contracted service.

Sharing information

We do not sell personal information. We share it only where needed to operate our services, respond to your request, work with professional advisers or suppliers, comply with law, or protect our legal rights.

Your rights

Depending on the circumstances, UK data protection law may give you rights to ask for access to, correction of, deletion of or restriction on the use of your personal information, and to object to certain processing. Analytics and cookie choices

With your permission, the website uses Google Analytics 4 to understand website usage and performance. Analytics is controlled through the site’s cookie preferences and analytics storage is denied by default. You can reject analytics or later change or withdraw your choice through the Cookie settings link in the website footer. We do not send names, contact details, postcodes or enquiry messages to Google Analytics. Advertising and remarketing technologies are not currently used.
